Sales conversations

Turn sales calls into notes your team can use.

After a useful conversation, the next person needs to know what the buyer said, what was agreed and what remains open. A call workflow can prepare that record and propose next actions for review. Keep the important statements linked to the recording so the account owner can check them before updating the CRM.

Decide which conversations belong in the workflow

Name the calls the process may use, why they are needed, who may access them and how long the recordings and derived notes should remain available. Resolve the organisation’s recording, privacy and consent requirements before including real calls. Permission to attend a meeting or view a transcript does not by itself define every permitted reuse.

Begin with the smallest useful task. For example, prepare notes and draft next actions for the person who attended the call. Sending a customer follow-up, changing a deal stage and sharing material with marketing are separate actions with their own owners and checks.

Use an approved recording location and selected account records. Keep personal details unrelated to the commercial task out of the output. When a recording is unavailable or excluded, show that limit. A useful workflow can ask the owner for a manual note rather than inventing a complete conversation history.

Match the call before updating the account

Keep a stable call reference, the date, participants where confirmed, account or site and the relevant opportunity. A familiar email domain may belong to several buying units. Ask the owner to resolve an ambiguous account match before attaching notes to a deal.

Preserve the source recording and transcript version used for the draft, with timestamps for material statements. Speech recognition and speaker attribution need checking, especially for names, numbers, negation and overlapping voices. Google’s speaker-diarisation documentation describes assigning a number to each detected voice. Treating a numbered voice as a named buyer requires an additional check.

Keep older account information available as context, with its own source. If last month’s note says “July delivery” and today’s call says “the date is undecided”, show the change for review. Separate statements, commitments, questions and interpretations

Statements record what a participant said, with enough context to preserve its meaning. A buyer saying that technical approval is needed is evidence of an approval requirement. It is not evidence that the approval will be granted or that the speaker controls the budget.

Commitments record who agreed to do what and any agreed date. Distinguish “I will send the drawing on Thursday” from “we could perhaps send something next week”. Keep a conditional offer conditional. A promised date belongs to the person who made the commitment, not automatically to the salesperson.

Open questions identify what the conversation did not resolve. Interpretations describe a possible implication for a person to assess. “The buyer may need implementation support” can be useful if it points back to the exact concern. It should not become “implementation support required” in the CRM without review.

Keep the evidence beside the proposed update

The account owner is reviewing a supplier call about a revised component proposal. The record separates what was said, what remains uncertain and the action to consider. Technical approval and an order are still outstanding.

The reviewer can accept the drawing task, correct the participant match and approve a draft question list separately. The deal stage and value stay as they were unless their own evidence requirements are met. A well-written summary does not show which changes the owner approved.

Let the owner review each proposed CRM change

Show the current field, proposed value, evidence and reason together. An owner should be able to approve a task while rejecting a stage change. Keep an append-only note separate from an update that replaces an existing field, and preserve who approved each consequential change.

Limit the connection to the records and actions the task needs. A notes-preparation workflow may read approved calls and draft a note while having no ability to send messages or change prices. OWASP’s excessive-agency guidance recommends restricting capabilities and permissions and enforcing authorisation in the connected systems. A prompt describing the boundary does not replace those controls.

Treat instructions spoken in the call or written in the transcript as source material. They cannot grant access to another account, redirect notes to an outside address or alter the workflow’s rules. OWASP’s prompt-injection guidance identifies external content as a possible path for instructions that change a model’s behaviour. Test that boundary as part of the handover.

Return buyer questions to the people who can answer them

Some checked notes are useful beyond the current deal. A repeated question about installation disruption may expose a missing explanation in sales material. Prepare a short note for the team answering it: the question, relevant buyer role, what the present material fails to answer and the evidence the proposed answer would need.

Do not distribute the full transcript by default. Use information approved for the receiving team’s purpose, omit unnecessary account or personal details and retain an appropriate source reference for an authorised reviewer. A single question can justify improving an answer; it does not establish how common that concern is across the market.

Marketing can use the reviewed question to prepare content, and sales can return whether the answer helped. In a connected outbound campaign, that may improve the proposition or material offered to a relevant audience. Client statements still need separate permission before becoming public quotations or case studies.

Test unclear statements, access and failed handovers

Use approved test recordings with expected results written in advance. Include a clear commitment, a conditional statement, a wrong speaker, conflicting dates, an unclear account match and a call with no agreed next step. The acceptable output sometimes says that no task should be created.

Test access and delivery as well as note quality. Can another user see a recording they should not access? What happens when the call is removed from the approved source? If the CRM accepts a note but the response is lost, does a retry find that note before creating a duplicate? The interface must distinguish a draft, a confirmed save and an outcome still needing investigation.

Ask the recipient to find the source, correct a wrong inference and complete an approved next step. Record correction time, missing context and unresolved work. Start with the handover the team will use

Choose one call type and name the person who will use the notes. Specify the fields to prepare, the source for each, the changes that need approval and one case that must stop. Let the reviewer try that handover with an approved test record before expanding the integration.
